Fill out the application form and post or fax it to the address mentioned on the contact page. When enrolling a student, the Agency is asked to collect all necessary fees from the student and send the application form to the School. (In the case of enrolments to the USA, fees that must be remitted to the School are the $120 non-refundable processing fee and the $60 non-refundable document shipping fee (if applicable).) After having received your application and deposit, we will send the confirmation of enrollment and the invoice. The welcome pack with extra information and the address of your accommodation will be sent after you have settled the remaining balance. The invoice must be paid in full, four weeks before arrival.
If a booking (e.g. arrival date, accommodation) is changed up to 31 days before departure, we will be obliged to charge a non-refundable fee of $75 / 50€. We will do our utmost, but cannot guarantee the fulfilment of the request made. In the case where extra costs will be incurred due to the rebooking, we will advise you of what the rebooking fee will be.
In order to provide the letter of acceptance required by the embassy for visa issuance in all countries but the USA, 40% of the total amount should be paid together with an additional non-refundable charge of $120 / 80€, or the equivalent (+ a shipping fee). In case of a visa refusal, a full refund minus the non-refundable charge of $120 / 80€ can only be made if the student provides the letter of refusal issued by the embassy at the latest 14 days before departure. After this date, we will consider the participation of the student as confirmed and cancellation / rebooking fees will apply.
In cases where the visa has not yet been issued 15 days before departure, we strongly recommend postponing the course. In this case, the first rebooking fee will not be charged.
Neither agent, operator, nor the school will be held responsible in any way for any accident, illness, loss of personal effects or change in personal circumstances arising at any time prior to, or during, the course. We therefore strongly recommend our personal travel insurance (incl. Health, Third-party, Accident and Baggage: $ 75 per person per month).
Parents of minors agree that neither GEOS Languages PLUS nor the homestay shall be liable for damage or problems caused either negligently or intentionally by their children while participating in trips. Parents and their children who are still minors recognize and accept the laws and the normal code of conduct of the country which they are visiting.
In the case of cancellations prior to the course start, the following fees will apply:
Refunds After The Program Of Study Starts
Canadian Schools
a) If written notice of withdrawal is received by GEOS, before 10% of the program of study is completed, GEOS may retain 50% of the total unused tuition.
b) If written notice of withdrawal is received by GEOS, after 10% and before 30% of a program of study is completed, GEOS may retain 70% of the total unused tuition.
c) If a student withdraws after 30% of the program of study's duration, no refund is required.
d) If a student is dismissed from a program of study for not adhering to the GEOS Code of Conduct, no refund will be given.
All Other Schools
If you should cancel/withdraw after the commencement of your course, please consult the school for its refund policies.
An insurance on cancellation fees is available. This is 2% of the total amount (a minimum of $75 / 50€, non-commissionable). The insurance must be settled upon registration and will only apply if a student cancels prior to departure due to health reasons (on receipt of written confirmation from the relevant doctor).
In the unlikely event the School will not be able to create a group course due to it not having enough students at the same time/level, smaller group courses or private tutorials for a reduced amount of lessons will be provided instead.
Under the rare circumstances of the School being forced to cancel, all fees paid for services will be refunded. The minimum number of participants for exam preparation courses is 4 students.
Refund Policy/Calculation:
New York and Boston
Cancellation (prior to or on the first day of class) If an applicant accepted by GEOS cancels for any reason prior to or on the first day of class, he/she will receive a full refund of all monies, less any non-refundable fees as outlined in the enrollment agreement (if applicable).
Withdrawal (after start of class): The term of enrollment varies for each student based on the number of weeks specified on his or her enrollment documents. Refund calculations for students who withdraw after the beginning of their classes is based on the term of enrollment.
Note: All tuition discounts or special offers are dependent upon completion of the total contracted weeks of study. If a student withdraws or shortens their course after the first day of class, but before completing 50% of their contracted number of weeks, the student will be charged the pro-rated price for the number of weeks completed when calculating a refund.
Refund Policy/Calculation:
California Schools
Notice of cancellation must be in writing, and a withdrawal may be effectuated by the student's written notice or by the student's conduct, including, but not necessarily limited to, a student's lack of attendance.
(a) If notice of cancellation is made by the 1st class session, or the 7th class day after enrollment, whichever is later, GEOS shall refund 100% of the amount paid for institutional charges, less the non-refundable fees as outlined in the school catalogue and enrollment agreement.
(b) Students who have completed 60% or less of the period of attendance shall receive a pro rata refund (total tuition, less the non-refundable fees included in the tuition, divided by the number of days in the program, minus the number of days attended). There is no refund for students who have completed 61% or more of the period of attendance.
(c) All refunds will be made within 45 days of a student's cancellation or withdrawal.

All refunds will be paid within 45 calendar days of the first day of the term for those students that cancel. All refunds will be paid within 45 calendar days of notification for those students that withdraw. Students who enroll at GEOS with an overseas agency should collect their refund from that agency directly.
GEOS is not obligated to make any refunds to students who are dropped administratively due to the violation of its written disciplinary and/or attendance policies or local, state or federal law.
